Job Overview:

The Coordinator will effectively serve as a point of contact for events such as caterings, reservations, bookings and other services. The general responsibilities of the position include those listed below, but Sodexo may identify other responsibilities of the position. These responsibilities may differ among accounts, depending on business necessities and client requirements.

/General Responsibilities:/

  • Serves as a point of contact for reservations, bookings, equipment, catering and other such services.

  • Communicates to internal and external clients.

  • Performs some administrative tasks such as arranging meetings, developing agendas and preparing progress reports.

  • Coordinates logistics, setup/knockdown and on-site problem resolution.

  • May assist in daily coordination of projects, including preparing and maintaining project plans, budgets and staffing requirements.

  • Tracks progress and identifies/resolves obstacles.

  • Complies with all company safety and risk management policies and procedures.

  • Participates in regular safety meetings, safety training and hazard assessments.

  • Reports all accidents and injuries in a timely manner.

  • Attends training programs (classroom and virtual) as designated.

  • May perform other duties and responsibilities as assigned.

  • Generally in an indoor setting; however, may supervise outside activities and events.

  • Varying schedule to include evenings, holidays, weekends and extended hours as business dictates.

  • While performing the duties of this job, the employee is primarily in a controlled, temperate environment; however, may be exposed to heat/cold during support of outside activities.

  • The noise level in the work environment is usually moderate to loud.

THIS IS A CATERING SALES CORDINATOR POSITON

  • Prepare catering proposals for both social and university events with creative advice on both menu and decor.

  • Event planning, Menu writing and costing experience

  • Build a positive relationship with University contacts.

  • Ability to effectively communicate all event information with Executive Chef, Operations Managers, and service staff to ensure a successful event.

  • Input information into current system for catered events.

  • Interact with customers on the phones, take phone orders and phone changes to events.

  • Interact with customers to ensure maximum customer satisfaction.

  • Take direction from Director of Catering, Catering Managers.

  • Check Catering Web Mail and respond to all e-mails in a time sensitive manner.

  • Produce Daily Billing and provide to controller s office for invoicing.

  • Assist with Catered events when called upon to do so(i.e. set and delivery).

  • A successful applicant will be a self-starter capable of making decisions that best reflect the Catering Department s Mission.

  • Must be able to work a flexible schedule that includes: evening, weekend, and some holiday shifts.

  • Prior food service experience or catering sales experience is required.
