Description/Job Summary

Job Overview:

The Coordinator will effectively serve as a point of contact for events such as caterings, reservations, bookings and other services. The general responsibilities of the position include those listed below, but Sodexo may identify other responsibilities of the position. These responsibilities may differ among accounts, depending on business necessities and client requirements.

/General Responsibilities:/

  • Serves as a point of contact for reservations, bookings, equipment, catering and other such services.

  • Communicates to internal and external clients.

  • Performs some administrative tasks such as arranging meetings, developing agendas and preparing progress reports.

  • Coordinates logistics, setup/knockdown and on-site problem resolution.

  • May assist in daily coordination of projects, including preparing and maintaining project plans, budgets and staffing requirements.

  • Tracks progress and identifies/resolves obstacles.

  • Complies with all company safety and risk management policies and procedures.

  • Participates in regular safety meetings, safety training and hazard assessments.

  • Reports all accidents and injuries in a timely manner.

  • Attends training programs (classroom and virtual) as designated.

  • May perform other duties and responsibilities as assigned.

  • High School diploma, GED, or equivalent experience.

  • Generally in an indoor setting; however, may supervise outside activities and events.

  • Varying schedule to include evenings, holidays, weekends and extended hours as business dictates.

  • While performing the duties of this job, the employee is primarily in a controlled, temperate environment; however, may be exposed to heat/cold during support of outside activities.

  • The noise level in the work environment is usually moderate to loud.

Our goal in catering is to create and offer services that contribute to a more pleasant visit at the aquarium. We are looking for an outgoing person passionate about working with food and delivering outstanding service while being fun and friendly. This is a 7 day catering operation. We are a high volume establishment and are looking for a coordinator for our special events and catering department.

Responsibilities

  • Distributes all event inquires as received via email, phone, website and will assign to appropriate Catering Sales Manager

  • Serves as a point of contact for event inquiries, bookings, ordering of equipment and linen for all external booked events, catering and other such services

  • Communicates to internal and external clients as directed by Catering Sales Managers

  • Will processes all external booked client deposits, payments and post event invoicing paperwork

  • Performs administrative tasks such as arranging meetings, developing agendas, printing tasting menus, menu/banquet event order updates for external evening events, pricing updates on menus and in catering software program, designing floor plans, requesting needed documentation/payments from external booked clients, and preparing progress reports

  • Will assist in coordinating booked event logistics, including ordering equipment and linen for upcoming external booked events, designing floor plans, night of setup/knockdown and on-site resolution

  • Will assist in daily coordination of projects including preparing and maintaining project plans, external event calendars, and budgets

  • Will track progress and identify/resolve obstacles

  • Supports external events as scheduled, including nights and weekends.

  • Works as a liaison between Catering Sales Manager, Banquets, and Culinary teams in regards to distribution of Banquet Event Orders and updates to those teams.

  • Other duties as assigned.
